This note explains how Cloudcontrol Base (“we”) uses personal information when you visit https://cloudcontrolbase.click, send a brief, book a reading-room hour, or collect an edition. It should be read with our cookie note.

What we collect

From the brief form: name, email, the work you have in mind, a preferred visit date, household notes, and your message. In the course of a commission we may also hold photographs of rooms and relatives that you send, proof comments, a postal address, and a wallet address for minting. We do not ask for payment-card numbers on this site.

Why we use it

To answer briefs, schedule visits, draw agreed likenesses, mill and post sheets, mint the matching token, keep a studio record of which number went to whom, and meet UK accounting and consumer-law duties. The legal bases are contract (for accepted work), legitimate interests (to keep edition records and to answer enquiries), and consent (for optional analytics cookies, and for photographs you choose to send).

Retention

Unaccepted briefs are deleted within twelve months. Accepted commission files, including likeness photographs you asked us to use, are kept for six years after the last invoice so we can evidence the edition and handle a later query about the colophon. Visit bookings are kept for two years. You may ask us to return or destroy unused family photographs once the edition is signed.

Your rights

You may ask for access, correction, erasure, restriction, or portability of your information, and you may object to processing based on legitimate interests. You may withdraw consent for optional cookies. These rights are not absolute. You may complain to the Information Commissioner’s Office.

International transfers

If a mill, a postage carrier, or a minting venue stores a record outside the United Kingdom, we will only use a venue that offers an appropriate safeguard (such as a UK Addendum to standard contractual clauses) or an adequacy decision. Family photographs are not uploaded to public galleries.

Children

We do not seek briefs from children. If a family edition includes a child’s likeness, a parent or guardian must send the photographs and approve the proof.
